This page explains how to ask us to delete your account and the personal data associated with it, what will be deleted, what will be kept, and how long it takes. It applies to Alpha AI Indoor Inspection.
How to ask
Option 1 — ask your organisation’s administrator
Accounts are issued by the organisation you work for, and an administrator there can close yours. This is usually the fastest route, and it is the right one if you are leaving a project or a job.
Option 2 — ask us directly
Email privacy@alphaaivision.com from the email address your account uses, with the subject line “Data deletion request”, and include:
- the email address of the account;
- the app you used;
- the name of the organisation that issued your account, if you know it.
Writing from the account’s own email address is what lets us verify you. If you cannot, say so and we will find another way — we will not delete an account on an unverified request, because that would let someone else delete your work.
You do not need the app installed to make this request, and you do not need to sign in. An email is enough.
What gets deleted
- Your account and your ability to sign in.
- Your name, work email address and stored password credential.
- Your role and the list of projects and inspections assigned to you.
- Any personal preferences held against your account.
What is kept, and why
Some data survives the deletion of your account. We would rather set this out plainly than have you discover it later.
| What | Why it is kept | How long |
|---|---|---|
| Inspection content — defect and repair photographs, floor plans, notes and reports | It belongs to the client organisation that commissioned the inspection, not to your personal account. It is a compliance record that the organisation is frequently required to keep. Only they can authorise its deletion. | Per that organisation’s instruction and their contract with us |
| Audit trail — the record that an action was taken and when | An inspection record whose history can be rewritten is worthless as evidence. Where we can, we replace your name with a non-identifying marker rather than delete the entry. | With the inspection record |
| Server logs | Security and fault diagnosis. | Until they expire on the normal cycle — 90 days |
| Backups | Deleting a record from a backup that has already been written is not possible without destroying the backup. It ages out instead. | Up to 90 days |
| Records we must keep by law | Tax, accounting, or an actual or anticipated legal claim. | As long as the relevant law requires |
If what you actually want is a photograph or a note removed from an inspection rather than your account closed, that is a request for the client organisation to make. Tell us and we will pass it on, or approach them yourself — either way the decision is theirs.
How long it takes
- We aim to acknowledge your request within 5 working days.
- We aim to complete the deletion within 30 days of verifying who you are, and we will confirm when it is done.
- Backups holding the deleted data are overwritten on their normal cycle, within 90 days.
If you change your mind
Tell us before the deletion is carried out and we will stop. Once it is done it cannot be undone — we will not be able to restore the account, and you would need your organisation to issue a new one.
